Report inbox

Give your bank and tax software your firm's own address, and the reports they email are checked and imported for you, with a note when one is late.

Your report address

Your firm has its own address for reports. A CSV or Excel file emailed there is read the same way as a file you import yourself on Import data: every row is checked and matched to its return, and nothing is applied that needs a decision from you.

The address is unique to your firm and hard to guess. Keep it private. If it gets out, get a new one on the Report inbox page: the old address stops working at once, and anything still sent to it is listed but not read.

Set up a sender

Each bank and software product names these screens differently. The steps are the same everywhere.

  1. Bank product funding reports: in your bank product provider's portal, open the daily funding or disbursement report, choose to have it emailed on a schedule as a CSV or Excel file, and enter your report address.

  2. Tax software exports: if your software can email a client or return list on a schedule, enter your report address. If not, export the file and email it to your report address yourself.

  3. Any other report: set it to email a CSV or Excel file to your report address, or forward one yourself.

  4. On the Report inbox page, add the sending address, or the whole domain (for example @yourbank.com), and say how often its report comes.

What happens to each email

  • The first report in a new layout waits for you to check what its columns mean, once. Later reports from the same sender in the same layout are applied on their own when every row is clean. You can choose for a sender's reports to always wait for you.
  • A report with a row that needs a decision, or a row that can't be imported, waits in Import data for your review, and you are notified.
  • A funding report only updates returns you already have; it never adds a return on its own.
  • Applied reports can be undone for 30 days from Import history, like any import.
  • Every email is listed with what happened to each file: imported, waiting for you, not a report, or not accepted.

Late reports

For each sender you can say how often its report comes: every day, every weekday or every week, and how many hours to wait before it counts as late. When a report doesn't arrive in time, your admins are notified once and the sender is marked late on the page until the next report comes.

Safety

  • Only CSV and Excel files are read, up to 15 MB each and 10 per email. Programs, scripts, workbooks with macros and zip files are never opened, and are listed as quarantined or not accepted.
  • An email can be up to 40 MB with its attachments. A larger one is returned to the sender, so ask them to send the report in parts.
  • An email that fails the spam or virus check is quarantined and nothing in it is opened.
  • An email that can't be confirmed as coming from its sender waits for your approval, even from a sender you allow.
  • A firm can receive up to 60 report emails an hour, 20 from any one sender.
  • A report's rows are kept only until they are applied or for 7 days, and are encrypted while they wait. The list of received emails is kept for 24 months.
